Payment Terms

What I Need From You

This is an expedition and not a tour.  We will do our best to provide information to you through monthly updates, but you will be responsible for making sure all pre-travel requirements are completed.  Timely payments are required, as bike, hotel, and flight reservations will be made for you in the months prior to arrival, as well as the purchase of your conservation area permits.

Paying Your Balance

The balance of your trip cost is due according to the following:

– 25% of the full trip price (less initial deposit) is due 120 days before the tour departure date.

– 25% of the full trip price is due 90 days before the tour departure date.

– 50% (final payment) of the full trip price is due 60 days before the tour departure date.

Deposit

A $1,000 USD deposit is required to secure your reservation on the tour.  If you don’t pay your deposit within 14 days of registering, your reservation may be cancelled.

Deposits may be made by check (U.S. customers only), wire transfer in US dollars or a major credit card.

Your deposit is fully refundable within 14 days of making the reservation.  After 14 days, the initial deposit is non-refundable.

 

COVID Update

Due to the constantly changing travel regulations (local and internationally) and in an effort to reduce the potential interruption of the group as a whole we are requiring all participants to be fully vaccinated against COVID-19 before arrival. Changes in regulations closer to the time of the trip may also require a booster. We are in support of personal choice but given the realities of post COVID-19 international travel this is a necessary step.

If the expedition is moved or cancelled because Nepal or South Africa closes its borders, we will email or call you as soon as possible. We will refund 100% of your payment (minus a 3.5% processing fee if paid by credit card online) if you are not able to move to any new dates that are set. If you personally choose to not join the expedition for any reason — including a new COVID outbreak in your home country or Nepal / South Africa — you will fall into the standard refund policy parameters.

Please delay your purchases (travel insurance, flights, etc) to as close to the start point of the expedition as possible. If this expedition is cancelled due to COVID, most airlines will very likely refund your entire flight. Because of this we recommend booking directly with your airline of choice rather than using a 3rd party vendor. In addition, it’s easier to change flights if you manage to contract COVID and are unable to fly home as expected.

If the borders close during or after the expedition, we are not responsible for any additional time spent in Nepal or South Africa. In addition, we are not responsible for reimbursing any other purchases you may have made to include airline tickets, hotel reservations, visa costs, medical insurance purchases, gear purchases, passport costs, immunization costs, or any other costs in preparation for this expedition. Please purchase travel insurance or trip protection for this possibility.

Refunds for payments made by credit card online are subject to a 3.5% processing fee, which will not be refunded. 

Changing to Another Date

You may change to another tour date (subject to availability) with no penalty if made more than 60 days prior to the original departure date.

COVID Cancellations

For tours where borders may close to travelers, we will be reviewing trips at 65 days but no later than 35 days prior to departure (or closer as the situation changes) to determine if it is feasible to run the trip. In the event your trip is postponed, we will place 100% of your trip funds on account to use for a future date.

We will cancel a tour if local, state, or federal authorities prohibit us from entering the country due to COVID-19.  Under those circumstances, we will attempt to refund everyone in full (minus a 3.5% processing fee if paid by credit card online).
